Privacy Policy

Last updated: November 2, 2026

This policy explains what personal data we collect when you use improvecv.ai (the "Service"), why, who receives it, and your rights.

Who is responsible for your data

Our lead supervisory authority is the Dutch Data Protection Authority (Autoriteit Persoonsgegevens). You can also complain to the authority in your own country (section 8).

1. What we collect

1.1 Information you give us

1.2 Information collected automatically

1.3 Sensitive data

A resume may contain sensitive ("special category") data under GDPR Article 9, such as health or disability, religion or beliefs, trade-union membership, ethnic origin, political opinions or sexual orientation; a photo can reveal some of this too. We do not ask for it, and use it only to store, show and process your resume, including the AI features you run on it.

Include it only if it is really needed. If you do, we rely on your explicit consent, given in the box you tick to create an account ("I agree to the Terms and to ImproveCV processing sensitive details I add, like health or religion.") or, for the Resume Score, in the box beside the upload. Every sign-up, including with Google, asks for it. You withdraw it by removing the information or deleting the resume. A copy already sent to OpenAI for an AI feature is deleted by OpenAI within 30 days (section 4).

1.4 Other people's data

If you add someone else's data, such as a referee's phone number, you need a lawful basis to do so. We use it only as part of your resume.

2. How we use it

Legal bases (GDPR)

Automated decisions

The resume score and AI suggestions are automatic but informational. They make no decision about you and have no legal or similarly significant effect under GDPR Article 22. No employer sees them unless you show them.

3. Marketing email

We send marketing email (product news, tips and offers) only to addresses that asked for it: through our newsletter form or the box at sign-up. We record the address, where and when it signed up, the list it joined, whether and when it was confirmed through the link we send, whether consent is held, any earlier address of the same account, when it unsubscribed, and an unsubscribe token. As proof of the opt-in we keep the browser's identification string and a one-way hash of the network address, never the raw IP. We no longer issue discount codes; one issued in the past is stored with the address it went to.

4. Who receives your data

We use the processors below. We never sell, rent or trade your data, or share it with advertisers.

We may disclose data where the law requires it, or to establish, exercise or defend legal claims. In a merger, acquisition or sale of assets, your data may pass to the successor, which stays bound by this policy unless it gives you notice.

Job search results are cached by search terms, never by user, and hold only public listings.

5. Storage and security

Your data is stored in Google Cloud Firestore, encrypted at rest and in transit. We use HTTPS throughout, verify your sign-in on every request, block direct database access from browsers, validate and sanitize input, rate-limit our API, set security headers including a Content Security Policy, and ask you to sign in again before you change your email, export your data or delete your account. No system is perfectly secure: if a breach affects your data, we will tell the authority and, where it puts your rights at high risk, you, as the law requires.

5.1 International transfers

Our database is in the United States, so data from the EEA, UK or Switzerland is transferred there. Google is certified under the EU-US Data Privacy Framework and its UK and Swiss extensions, and its Cloud Data Processing Addendum includes the Standard Contractual Clauses and the UK Addendum. PostHog and Sentry store data in the EU. Stripe, OpenAI, Apify, Resend and Namecheap use equivalent safeguards in their data processing agreements. When you import a LinkedIn profile or view job listings, your browser loads photos and logos straight from LinkedIn (licdn.com), which sees your IP address. Ask privacy@improvecv.ai for details of any transfer.

6. How long we keep it

7. Cookies and browser storage

Every cookie and storage entry the site uses is named below, so you can check them in your browser.

7.1 Strictly necessary (always on)

Needed for the site to work, so they need no consent:

7.2 Analytics (only with your consent)

Set only after you accept analytics in our cookie banner: PostHog's visitor id, session id and feature flags, in cookies and storage entries starting with ph_. If you withdraw consent, PostHog stops at once and every ph_ entry and cookie is removed.

We use no advertising or third-party tracking cookies. Our home page links to Trustpilot rather than embedding it, so nothing of Trustpilot's runs on our pages; a review you write there falls under its own policy.

8. Your rights

Wherever you live, you can:

Write to privacy@improvecv.ai. We answer within the legal deadline, normally one month, and may first check your identity.

8.1 If you are in California

We do not sell or share personal information as the CCPA and CPRA define it, or use it for cross-context behavioral advertising. You can ask to know, delete or correct what we hold, and will not be treated differently for it. Sections 1 and 2 list what we collect and why. Use the address above.

9. Children

The Service is not for anyone under 16, and we do not knowingly collect children's data. If you think we have, tell us and we will delete it promptly.

10. Changes to this policy

For a change that materially affects how we use your data, we tell you by email or in the Service before it applies. Other changes are posted here with a new "Last updated" date.
